It takes place on Saturday, August 18 and Sunday August 19. The Saturday event starts at 7:00 AM and could take up to 9 hours (depending on horse stamina and rider skill). Being such a long event, we can use multiple shifts to cover it, so indicate your choice of early or late when signing up. Sunday's event also starts at 7:00, but typically is done around 11:00, but could take until 1:00 if there is a slow horse. What we do is keep track of the horses by recording their times at six checkpoints. When is is obvious that a horse is overdue, we launch an SAR operation. This is a fun event that is distinctly different from the usual 5k run. The riders are very friendly and they are VERY appreciative that we are out keeping tabs on things as the cell phone coverage is poor along the horse trails. This event is a good exercise for disaster preparation as we use a directed net to collect the special traffic used to do the tracking. I need to be out of town on Saturday, so in addition to regular volunteers, I am seeking someone to coordinate and act as net control that day. I will provide the necessary logging forms and other information. This event consists of three different rides that all start and finish at Eastwood Metro Park. The shortest version goes out the bike trail to Beavercreek and back. The middle one continues on to Xenia and returns. The long one continues to Corwin (in Northern Warren County) and returns. The ride starts at 8:00 AM and wraps up around 2:00 PM. The schedule for the rest stops varies according to location. For example, Corwin opens at 10:30 and closes at noon, since it is the farthest from the start, while Beavercreek opens at 8:15 and closes at 1:30, since it is close to the start, but needs to stay open until the long route riders return. The organizers would also like to have radio operators who could install in SAG vehicles and help with herding the riders back to the finish. It would be swell to have a bike mobile operator to follow the last riders into the finish.? If you are able to support this event, please contact n8ado at arrl.net. The organizers of Pony Wagon Days in St. Paris (near Urbana) have asked if we would be able to help with the parade on Thursday late afternoon and evening September 6. It was delivered on Thursday. I suspect they'll reach out for clarifying information once they get to our application. The good news about reduced IRS budgets is that you personally are less likely to get audited. The bad news is that tax-exempt applications are probably being processed slower as well. And thanks to a change in the regulations at the end of 2017, the processing fee was only $600 instead of $850. This brings me to more serious points. When I discussed doing this in front of the membership at least 2 or 3 times, I warned everyone that we will have real legal and financial responsibilities with not only the IRS but also the State of Ohio. While I and our Treasurer, Steve Mackey, will take care of these responsibilities in the near future, we aren't going to take care of them forever. Everyone who voted to proceed with seeking tax-exempt status needs to be ready to stand up and take over these responsibilities. If we ever get to the point where we have difficulty fulfilling these obligations, there are fines, and the IRS and/or State of Ohio will revoke our tax-exempt status or worse. And, if we ever get to the point where we need to dissolve the Ohio domestic non-profit corporation, our hands will be somewhat tied by Ohio law in how we deal with the transfer (or sale) of assets -- namely the trailer, everything in the trailer, and the repeaters -- back to an association or other non-profits. And why am sounding all doom and gloom? I saw a steep drop in membership from 2016 to 2017 that never recovered in 2018 when completing the financials for the tax-exempt application. One theory is that the monthly meetings are just plain boring. That's been a concern of mine for a while now. They've become all business and no learning or interesting programs. And lately the business aspect doesn't change much from meeting to meeting. I even brought in something to talk about a few meetings ago knowing we'd not likely have a program that night, and one member suggested that I just hold off until more members are present not realizing that more members will never be present until we make the meetings interesting again. So there you have it. I would highly encourage members to get with the Vice President on ideas for programs for the monthly meetings and even prepare a presentation on your own and we'll schedule it into the meetings. Or maybe you'll want to run for Vice President this November if you want to take this on directly. I will continue to bring something just in case, but I really don't have the time to do the job justice. Even under the best of circumstances this can be challenging. But we were short on help, a radio failed forcing one of the volunteers and net control to setup a cell phone text messaging net, the course was vandalized ahead of the event requiring me to relay instructions out to the volunteers, maps were horrible, and the combination of the topography and location of the XWARN VHF repeater makes it so that HTs are borderline adequate. Be looking for me to experiment with some of the things I recommend such as a cell phone location tracker app built specifically for events like these.
